Automated Credit Card Surcharge; Add an Automatic Surcharge to Credit Card Orders

This feature allows you to automatically apply a credit card surcharge to quotes and sales orders when a customer uses a payment term tied to a credit card payment method. The surcharge is configured as an automated add-on and is dynamically recalculated as order values change, including updates from freight charges. This ensures the surcharge accurately reflects the final invoice amount without requiring manual adjustments. Only one automated surcharge can be configured in the system at a time.

  • Verify Payment Method Setup by navigating to Admin > Accounting and confirming that the applicable Payment Terms are linked to a Credit Card Payment Method, as the Payment Method is what triggers the automatic surcharge.
  • Open Add-On Configuration by navigating to Admin > Add-Ons and creating or editing an Add-On that will be used for the Credit Card Surcharge.
    • Configure the Add-On by assigning a Name, selecting the appropriate GL Account, choosing the applicable document types (such as Quotes and Sales Orders), and enabling the Automated Surcharge option.
    • Enter the Surcharge Percentage by specifying the percentage to be automatically applied to eligible transactions. Only one Automated Surcharge can exist in the system, ensuring a consistent percentage is used across all Credit Card transactions.
    • Save the Add-On Configuration to activate the surcharge calculation for orders using Credit Card Payment Terms.
  • Create or Edit a Sales Order and select a Payment Term associated with a Credit Card Payment Method to automatically apply the surcharge.
    • Change Payment Terms as Needed to see the surcharge automatically added or removed based on whether the selected Payment Term uses a Credit Card Payment Method.
  • Review Automatic Recalculations as merchandise totals change. The surcharge updates automatically whenever products, quantities, or pricing are modified.
  • Process Shipments Normally and allow the system to recalculate the surcharge when additional costs, such as Freight Charges, affect the final invoice value.
  • Verify Final Invoice Amounts to ensure the surcharge reflects the complete invoice total, including applicable Freight Charges on Prepay and Add shipments. This helps recover the surcharge percentage on the final billed amount.
