Serial Number Tracking Overview

Serial number tracking allows you to monitor individual items from receipt through invoicing and shipment. This feature is enabled at the company level and then applied to specific items, with options to require serial numbers during receiving and/or before invoice publishing. Once activated, serial numbers are captured upon product receipt and automatically flow through to sales orders and invoices. This ensures full traceability, showing whether serial numbers are in stock or already shipped.

  • Enable Serial Number Tracking in Admin Settings under Global Item Settings to activate the feature and define default requirements for Receiving and Invoicing.
  • Update Item Settings by turning on Track Serial Number and selecting whether serial numbers are required at Receiving, Invoicing, or both.
  • Receive Inventory with Serial Numbers by entering or scanning serial numbers during the receiving process once quantities are marked as received.
  • Review Serial Numbers on Item Record to view available stock and track which serial numbers are still in inventory versus assigned or shipped.
  • Generate Shipment and Confirm Serial Numbers during order fulfillment to ensure the correct serial numbers are tied to each order.
  • Publish Invoice with Serial Numbers Included so that confirmed serial numbers appear on the final invoice and reflect accurate stock movement.
