Intro to 10X User Permissions

This guide covers the various permission sets available within 10X ERP, as of Q3 2024. These permissions control access to different features and functionalities within the system. While this document provides an overview, specific use cases may require adjustments or custom permissions. Always reach out if you have questions or need further clarification.

1. Introduction to Permission Templates

Permission Templates in 10X ERP are designed to help you control, at a group level, access to various features and functions. This guide will walk you through the different permission categories and what each one allows a user to do, helping you create Templates if needed, and adjust custom permissions for users.

1. Sensitive Permissions

Sensitive permissions are the highest level of control within the system. These typically include access to crucial financial data and system settings. Some notes within this section are:

  • Accounting General Permissions:
    • View Permission: Required to see any accounting-related data underneath this section.
    • Edit Credit Holds: Allows the user to manage credit holds. Requires view access to the general accounting area.
    • Edit System Transactions (Journal Entries): Specific permission under journal entries. It's not recommended to enable this unless absolutely necessary as 10X monitors these transactions. This can only be used for transactions not within a locked period.
    • Change User Permissions (Admin - Users): Grants the ability to modify other users' permissions.

2. Permissions by Module

Permissions generally follow the modules found in the menu area on the left side of the screen. Some of the more specific permissions are discussed below. General View and Edit access allows users to either view or create/modify entities within the module.

Items Module

  • Edit and Add Item Prices/Costs: Controls the ability to adjust default sales side prices and vendor side costs.
  • Edit Item ID Field: Allows users to change item IDs on the fly, useful for data migration or cleanup.
  • Manage Lots/Inventory: Grants the ability to create, move, or adjust inventory lots.

Customers Module

  • Credit Details: Controls access to editing payment terms, credit limits, etc.
  • Edit Customer ID: Allows changes to customer IDs across the system.

CRM Module

  • Access CRM (Beta): Currently in beta, this permission controls access to the CRM features. Further granular permissions may be added in the future.

Sales Orders

  • Create Sales Orders: Basic permission to create new sales orders.
  • Open Closed Orders: Allows editing of orders after all items have shipped.
  • Update Order Components: Grants the ability to modify assembly item components on the fly.
  • Edit Shipments: Controls access to changing lot allocations and shipping methods.

Vendors

  • Accounting: Controls the ability to change vendor accounting details, including ACH and banking information, payment terms, etc.
  • Edit Vendor ID: Allows changes to vendor IDs across the system.

Purchase Orders

  • Open Closed Purchase Orders: Similar to sales orders, this allows the reopening and editing of closed purchase orders.
  • Close PO Receipts: This permission is likely to be deprecated, as it is not widely used and manually closing PO Receipts is advised against.

Work Orders

  • Open Closed Work Orders: Allows reopening and editing of closed work orders.
  • Update Work Order Components: Similar to sales orders, this allows modification of components within a work order on the fly.

4. Accounting Permissions

  • Billing: Access to sending and creating invoices, as well as viewing PO receipts that require billing.
  • Email Invoices: Allows users to email invoices directly from the system, useful for sales personnel who may not need full accounting access.
  • Accounts Receivable (AR) and Accounts Payable (AP): Basic permission to manage payments and bills.

5. Dashboards and Tools

Users can be granted permissions to access or edit various dashboards and tools within the system.

  • General Visibility: Setting a permission to 'None' removes the dashboard from the user's view. 'Edit' provides full access, including any actions that can be taken on the dashboard.

6. Admin Section

This section includes sensitive fields and general admin settings that control the overall configuration of the system.

  • Sensitive Fields: Controls view access to banking details, passwords, and other critical information.
  • Accounting: Includes general ledger defaults, payment terms, payment methods, etc.
  • Warehouses: Add/modify warehouse names and manage locations within warehouses, including priorities and types.
  • Inventory Permissions: Includes dead stock calculations, stratification, and management of item categories.
  • Templates: Ability to modify and manage Email templates, Labels, and various PDF settings.
  • Integration and Logs: These permissions control access to system integrations and logs, usually set up during onboarding but adjustable if new integrations are added.
  • Import Files: Allows mass uploading and changing of information.
  • Download File & Environment Labels: Used by the 10X technical team, no existing functionality to end users.
